The company

International House London is a leading independent language school based in Covent Garden, London. We provide both general and business English language courses for overseas students and other modern language courses for students from the London area. We are also a pre-eminent Teacher Training school for language teachers worldwide.

The role

We are looking for an ambitious, highly numerate (educated to A’level Maths or/and Statistics) and personable candidate. You will work closely with the CEO and senior management team on a range of exciting projects and you will be responsible for managing customer feedback, ensuring efficient asset management of the School timetable and developing and running external rooms bookings, for our 5 storey of our Central London building.

We offer

This is a full-time permanent contract - 35 hours per week. Flexible hours considered.

Salary: circa 37k

Leave: 30 days per annum, plus 8 public holidays.

Job description

This is a new post to provide direct support to the CEO. The post will also manage and run a range of projects and set up systems including to take an over-view of the School timetable to ensure efficient asset utilisation and manage external bookings.

The Executive Assistant (EA) role has several distinct aspects:

1) Personal Assistant

  • Arranging meetings for the Exec Department
  • Reviewing emails, post and phone calls on behalf of the CEO
  • Sending communications on behalf of the CEO
  • Clerk Senior Management Team meetings (i.e. agenda, minutes, follow up actions)
  • Arrange and minute Board and Committee meetings

2) Student Feedback

To manage and redesign our student feedback, generate the surveys from the student records system analyse the results and provide written reports for the Senior Management Team and Board.

To prove knowledge and impartiality of what students think of IH London classes and their overall experience, which is vital to assessing the quality of our work and our charitable impact. To work with the CEO to determine appropriate KPI’s.

3) Overview of Room Booking/Space Utilisation

IH London has a large (55 classrooms) Central London building. As one of our main assets, it is essential that we use this efficiently. Conversely, a shortage of space can result in declining business and the cost of hiring additional space.

Departments currently book spaces, using our school management system, and will continue to do so, however, we need an impartial way to monitor usage. The EA will find a way to monitor utilisation and capacity management and, with KPIs, present this to the Board and SMT.

Sometimes departments will have competing space needs. The EA will be expected to help broker a solution and will be the final decision maker.

4) External Users

Linking into the efficient use of space, we have capacity to hire rooms to external users. The EA is expected to develop this business and manage bookings.

5) Internal Communication

We have a simple weekly newsletter for staff. The EA is expected to edit and circulate this communication.

Additionally, the EA may be assigned other projects or tasks by the CEO.

Person Specification

You will be educated to degree level (or equivalent) and be eager to join the centre of a medium sized organisation where you can make a difference. A commitment to our charitable values, diversity of cultures and to the benefit of education will be distinct advantage. You should have a commitment to support the CEO whilst also be able to operate on your own initiative with limited direct supervision.

a) Knowledge, Experience and Qualifications

  • Degree or equivalent
  • Demonstration of numeracy (e.g. A level maths and/or Statistics)
  • Experience and knowledge of writing and producing customer surveys
  • Managing complex data
  • Experience of report writing and board level papers

b) Skills and Competencies

  • Write coherently, summarising information, getting across the key points in a concise style of professional English
  • Excellent motivation and influencing skills
  • Good Word, Excel and Outlook
